The post of Agent – Project Support can be part of any Unit within Europol. The Agent – Project Support will support Project Managers and / or teams in the preparation, planning, co-ordination implementation, control and evaluation of projects. This role may also be performed in the framework of projects funded by external assigned revenue.
Functions and Duties
The incumbent carries out the following main functions and duties:
• Assist with planning, coordination, and execution of assigned projects and related initiatives;
• Create, generate and distribute a wide range of documents in the area of responsibility;
• Contribute to the drafting of reports and any other documentation relative to the implementation of projects;
• Compile reports and other management information; send out and collect, check and validate information, documentation and data;
• Update information on internal and external websites;
• Support the organisation and scheduling of conferences, meetings and training courses;
• Carry out general support activities such as preparation of agendas and invitations or making logistical arrangements;
• Any other duty in the area of competence as assigned by line management.
The functions and duties may also be associated with a project funded by external assigned revenue. In the case of a project funded by external assigned revenue, the duties would be of a limited duration in time.
Requirements
• Be a national of one of the Member States of the European Union and enjoy full rights as a citizen;
• Have fulfilled any obligations imposed by the applicable laws on military service;
• Produce appropriate character references as to his or her suitability for the performance of the duties;
• Be physically fit to perform the duties pertaining to the post (prior to appointment the successful candidate will be medically examined by one of the institution’s medical officers in order that the institution may be satisfied that the candidate fulfils the requirements of Article 12(2)(d) of the Conditions of Employment of Other Servants of the European Union (CEOS);
• Produce evidence of a thorough knowledge of one of the languages of the Union and a satisfactory knowledge of another language of the Union to the extent necessary for the performance of the duties.
a. Professional experience:
Essential:
• At least 2 years of recent hands-on professional work experience in performing project support activities (candidates are requested to provide evidence in their application form);
• Experience in drafting project- related documentation and reports;
• Experience in organizing and supporting meetings, events and trainings.
Desirable:
• Experience working in an international environment.
b. Professional knowledge
Essential:
• Knowledge of project management related tasks, processes and techniques;
• Knowledge of project reporting;
• Knowledge of project-related communication methods and tools.
Desirable:
• Project management qualification or certification.
c. General competencies
Communicating:
• Very good communication skills in English, both orally and in writing;
• Very good drafting skills.
